Privacy Policy

Last updated: 7 October 2026

This policy explains what personal data we collect through the USA Intern Club website, how we use it and how you can exercise your rights.

1. Who is responsible for your data

The data controller is Veres Gyöngyi EV. (sole proprietor), trading as USA Intern Club.

  • Address: Szilassy út 12-14., 1121 Budapest, Hungary
  • Tax number: 66446248-1-43
  • Privacy contact: info@usaintern.club

2. What we collect

When you send us a message

Our contact form asks for your first name, last name, email address, nationality and message. If you contact us by phone or email, we also receive the information you choose to share in that conversation.

When you check your eligibility

Depending on your answers, we collect:

  • Your age in years. We do not ask for your full date of birth.
  • Your education status and, if you have graduated, your graduation date.
  • Your first name, last name and email address.
  • Your phone number, if you choose to provide it.
  • Your nationality.
  • Your English level.
  • Your field of study and field of work experience, including any description you enter when selecting "Other".
  • Whether you have no work experience yet, the number of years of relevant work experience, or a yes/no answer about having at least 200 hours of childcare experience.

We save your answers as you go, once you have entered your name and email address. If you start the check and do not finish it, we keep the details submitted up to that point so our team can follow up with you. The same applies when a check ends early, for example when your nationality or English level does not meet the current requirements. We do not collect the later answers you were not asked to provide.

When our team follows up

We keep your submitted details in our lead-management system, along with the form you used, submission and update dates, eligibility results, follow-up status and internal notes about your enquiry or application. Notes may identify the team member who added them.

When your answers match at least one program, our system sends an internal email to our team inbox containing your name, email address, nationality, matching programs and a link to your record in the team dashboard.

Team accounts

Applicants do not need an account to send a message or check their eligibility. People using the team dashboard provide an email address and password. The sign-in service manages password verification and session information. We also store team access roles and the email address associated with internal notes.

Technical information

Hosting, sign-in and email services may process technical information needed to deliver and protect the website, such as IP addresses, request times, browser information, errors and email delivery information. Error reports may include technical details of a failed request. Please do not put unnecessary personal information in free-text fields.

Information these website forms do not request

The current forms do not ask you to upload a CV, passport, photograph or other document. They do not collect payment-card details, a billing address or a newsletter subscription. If a later placement or visa process requires additional information, we will explain that collection separately before asking for it.

3. Why we use your data

  • Answering an enquiry about joining a program, checking eligibility and discussing a possible placement: taking steps at your request before entering a contract (GDPR Article 6(1)(b)).
  • Answering other messages and keeping relevant follow-up notes: our legitimate interest in responding to enquiries and managing correspondence (Article 6(1)(f)).
  • Maintaining the lead-management system and sending internal lead alerts: our legitimate interest in organising enquiries and ensuring our team follows up (Article 6(1)(f)).
  • Managing team access and protecting the website: our legitimate interest in operating a secure service (Article 6(1)(f)).
  • Measuring how the website is used and the performance of our advertising, where you have consented to analytics or advertising cookies (Article 6(1)(a)).
  • Handling matters for which the law requires us to retain or disclose information: compliance with the applicable legal obligation (Article 6(1)(c)).

Contacting you about your own enquiry or application is not a newsletter subscription. These forms do not sign you up for unrelated marketing emails.

Required form fields are needed to respond to your enquiry or run the eligibility check. Your phone number in the eligibility form is optional. Please only share information relevant to your request.

4. Eligibility results and automated processing

The eligibility check automatically compares your answers with program rules. It uses information such as age, nationality, education, graduation timing, English level and relevant work or childcare experience. It saves the resulting program matches with your submission.

The result can stop the questionnaire early or show that no programs currently match your answers. It is an initial screening result, not confirmation of a placement, visa or acceptance by a sponsor or employer.

If you think a result is wrong, or your circumstances need explanation, email info@usaintern.club and ask our team to review your answers. You can also ask us to correct inaccurate information.

5. How long we keep your data

We keep enquiry and eligibility submissions for up to 2 years from your last contact with us, unless a longer period is needed for an active application, an applicable legal obligation, or an actual or reasonably anticipated legal claim. After that, we delete or anonymise the record.

You can ask us to delete your information earlier by emailing info@usaintern.club. We will explain if a legal obligation or another lawful reason prevents us from deleting particular records.

6. Who receives your data

Your enquiry and eligibility answers are available to authorised members of our team through the dashboard. Qualified-lead alerts are also delivered to our team inbox.

We use service providers to host the website, store records, manage team sign-in and deliver internal emails. The website uses Lovable Cloud and Lovable's managed email service. Our inbox service also processes messages sent to or received by our team. Service providers may use their own infrastructure providers under the relevant contractual arrangements.

Submitting the eligibility form does not automatically send your answers to a US sponsor or host employer. If you later ask us to arrange a placement or visa sponsorship, we will explain which partners need your information and why before sharing it.

We may disclose information where required by law or where lawfully necessary to establish, exercise or defend legal claims. We do not sell your personal data.

7. International transfers

Some service providers or later US program partners may process personal data outside the European Economic Area. Where this happens, the transfer must have a lawful basis under GDPR Chapter V, such as an applicable adequacy decision or appropriate safeguards including the European Commission's Standard Contractual Clauses.

A transfer exception is used only where its legal conditions are met, not as a routine substitute for safeguards. You can contact us to ask which recipients, locations and safeguards apply to your information.

8. Cookies, analytics and advertising

Team sign-in uses browser storage to maintain an authenticated session. The applicant questionnaire does not require a sign-in account.

We use analytics and advertising tools (such as analytics cookies and advertising pixels) to understand how the website is used and to measure our marketing. These tools are only used with your consent where the law requires it, and you can withdraw that consent at any time through the cookie settings on the site or by contacting us.

Some images or fonts may load from external services. When your browser requests an externally hosted resource, that service receives technical information such as your IP address and browser request information.

Our site also links to services such as CIEE, Sprintax, TaxReturn4You and social media platforms. Some links are referral links. We do not attach your eligibility answers to those links. When you visit another website, its own privacy policy and cookie rules apply.

9. Sensitive information and children

The website forms do not ask for health information, religion, racial or ethnic origin or other special-category information under GDPR Article 9. Please do not include sensitive information or details about other people, particularly children, in your message unless it is necessary and we have explained how it will be handled.

The application check requires applicants to be at least 18 years old. The contact form does not check age. If information about a child reaches us, we assess whether it is necessary and lawful to keep it and delete it when it is not.

10. Your rights

Subject to the conditions in GDPR, you can:

  • Ask for access to your data and a copy.
  • Ask us to correct inaccurate or incomplete information.
  • Ask for deletion or restriction of processing.
  • Receive eligible information in a portable format.
  • Object to processing based on legitimate interests.
  • Withdraw consent where a particular activity relies on it, without affecting earlier lawful processing.
  • Ask for a human review of an eligibility result and explain your circumstances.

Email info@usaintern.club to make a request. We normally respond within one month. If a request is complex or we receive several requests, GDPR allows an extension of up to two additional months. We will explain any extension within the first month. We may ask for proportionate information to verify your identity.

11. Complaints

You can contact us about a privacy concern, but you do not have to contact us before complaining to a supervisory authority.

The Hungarian authority is the Nemzeti Adatvédelmi és Információszabadság Hatóság (NAIH):

  • Address: 1055 Budapest, Falk Miksa utca 9-11., Hungary
  • Postal address: 1363 Budapest, Pf. 9., Hungary
  • Email: ugyfelszolgalat@naih.hu
  • Website and current complaint procedures: naih.hu

Follow the authority's instructions for making a formal complaint. You can also complain to the supervisory authority in the EU country where you live or work, or where the alleged infringement occurred, and seek a judicial remedy.

12. Security and updates

We use access controls for the team dashboard and secure connections to protect information in transit. No system can guarantee absolute security. Where GDPR requires notification of a personal data breach, we will notify the relevant authority and affected individuals as applicable.

We update this policy when our processing changes. The date at the top identifies the current version. Where required, we will provide additional notice of significant changes.
